PATRON SERVICES CO-MANAGER
BOISE PHILHARMONIC

 

Reports to: Marketing Director


PART TIME POSITION (Job Sharing) Approx. 20-25 hours a week.

 

JOB SUMMARY:

 

The Patron Services Co-Manager is responsible for assisting in the managing of ticket transactions for all events and series, assisting in the staffing of the box office and training other box office staff on concert nights, maintaining accurate data about patrons, providing that data to other staff, and assuring quality customer service in all ticket transactions. The Patron Services Co-Manager is also responsible for assisting in the management of the entire Patron Edge database and the Boise Philharmonic website. For fundraising events, the Patron Services Co-Manager is responsible for assisting in all data management for each event and acts as a liaison between staff and the event planning committee. The Patron Services Co-Manager assists with the other Patron Services Co-Manager and the in-house IT person.

 

JOB DUTIES AND RESPONSIBILITIES:

 

 The Patron Services Co-Manager is responsible for assisting in organizing and planning procedures for ticket transactions for all events, including single and season tickets, renewals and ensuring that these procedures adhere to Association ticketing policies.

 

 The Patron Services Co-Manager is responsible for ensuring the highest quality customer service possible in all customer interactions.

 

 Data management: the Patron Services Co-Manager is responsible for assisting in creating and manipulating reports and making reports available for mailing lists and other uses to the Marketing Director & Executive Director.

 

 The Patron Services Co-Manager shall assist in the procedure for entry of ticket transactions, such as purchases, exchanges, recycled tickets, gift certificates, etc., as these procedures affect the accuracy of data to be retrieved later. The Patron Services Co-Manager will assist with the other Patron Services Co-Manager and the Marketing Director in writing a formal set of ticketing policies that meet the marketing and development goals of the Association.

 

 The Patron Services Co-Manager is responsible for assisting with the other Patron Services Co-Manager in creating and ensuring the accuracy of event and ticket formats in Patron Edge, and will work with Patron Edge support to build events, series, prices and ticket formats into Patron Edge.

 

 On concert nights the Patron Services Co-Manager may be required to coordinate the actual box office, sets up computers/ticketing system, train other box office staff and handles post-concert cash reconciliation with the Finance Director.

 

 The Patron Services Co-Manager assists in the implementation of all phases of fund raising projects, as assigned by the Executive Director.

 

 The Patron Services Co-Manager works with the other Patron Services Co-Manager and the volunteers and other staff to plan all fund raising special events and benefits, including the Chef & Gourmet Gala.

 

 The Patron Services Co-Manager retrieves and distributes answering machine messages when the Administrative Assistant is not in the office. Also responsible for updating office phone messages on concert weekends and on holidays.

 

 The Patron Services Co-Manager is responsible for assisting in the management and upkeep of the Boise Philharmonic website, and shall report to the Marketing Director for this task.

 

 The Patron Services Co-Manager is responsible for assisting in the creation of Adobe Illustrator and Photoshop graphics as well as the creation and distribution of monthly e-newsletters and should be prepared to create them on an as-needed basis.

 

 The Patron Services Co-Manager is responsible, with the Marketing Director and Patron Services Co-Manager, for the management of all Boise Philharmonic social media outlets. This includes Facebook, Twitter, Four Square, YouTube etc.

 

 The Patron Service Co-Manager assists as the in-house IT person for the Boise Philharmonic office. When outside help is needed, the Patron Services Co-Manager acts as a liaison between all tech-support outlets. This includes Blackbaud (Raisers Edge & Patron Edge), Authorize.net (online payments), PC Charge, Constant Contact and Auction Tracker.

 

 The Patron Services Co-Manager shall act as a Volunteer Council Coordinator alongside the other Patron Services Co-Manager. This includes lining up office volunteers, event volunteers, concert volunteers etc.

 

 For the annual Chef & Gourmet Gala, the Patron Services Co-Manager is responsible for assisting in a number of tasks as needed. Some of these tasks include:

 

              o Assisting in lining up all volunteers to help before, during and after the event
              o Assisting in the overseeing of check-in & check-out at the event
              o Assisting in all data management for the event including live & silent auction information, table/guest information, volunteer information, online auction information, payment information
              o Working with the other Patron Services Co-Manager and Finance Director for all payment reconciliation after the event.
              o Assisting in the event program book production

 

 The Patron Services Co-Manager shall work with other Patron Services Co-Manager and act as liaison between the staff and the Debs & Phils youth volunteer group.
